The Tender Process: Where It Goes Wrong


When most homeowners decide to build an extension or renovate their home, they send their drawings to three or four builders and ask for a price. The quotes come back in different formats, with different levels of detail, and often with wildly different totals.


Faced with this confusing array of numbers, many homeowners default to the simplest decision: pick the cheapest one. It feels logical. Same drawings, same house, so the cheapest builder must just be more efficient, right? Wrong.


What the Cheapest Quote is Actually Telling You


A quote that is 15-20% below the others is not a sign of efficiency. It is a sign that something has been left out, underestimated, or deliberately underpriced. Here are the most common reasons a builder's quote is significantly cheaper:


Exclusions: The builder has excluded items that the others have included. Common exclusions include site clearance, skip hire, scaffolding, mechanical and electrical works, or even VAT. You will still need these items—you will just pay for them as "extras" later.


Provisional Sums: The builder has included unrealistically low "provisional sums" for items like the kitchen, bathroom fittings, or tiling. A provisional sum of €5,000 for a kitchen in a €300,000 extension is meaningless—it is simply a placeholder to keep the headline price low.


Underestimating Quantities: The builder may not have measured the job properly. They might have underestimated the amount of concrete, blockwork, or timber required. Once the job starts and they realise their error, you will be hit with variation claims.


No Programme or Preliminaries: A cheap quote often comes from a builder who has not properly planned the job. They have not accounted for the cost of site management, insurance, temporary services, or a realistic timeline. This often leads to a chaotic, slow build with constant delays.


The Variation Trap


This is the real danger of the cheapest quote. Once you have signed the contract and the builder is on-site, you are in a weak negotiating position. The builder knows you cannot easily fire them and start again with someone else mid-project.


So the variations start rolling in. "We didn't allow for that." "The ground conditions are worse than expected." "You need an upgraded beam here." Each variation is priced at a premium because you have no alternative but to pay. By the end of the project, the "cheapest" builder has cost you 20-30% more than the next quote would have.
